Privacy Policy

How Transport Manager Check uses public-source records, search, payment, wallet and enquiry information.

Privacy Policy

This Privacy Policy explains how Transport Manager Check uses personal information when you search, purchase credits, contact us or ask us to review a record.

Who is responsible for your information?

BOX4 DIGITAL GROUP LTD (company number 17253991), registered in England and Wales, is responsible for Transport Manager Check and is the controller of personal information handled by the service. Our registered office is Suite 114B, Business First, Daveyfield Road, Blackburn, BB1 2QY. You can contact us at info@transportmanagercheck.co.uk.

Public Transport Manager information

We build a private Transport Manager register from dated publicly available information, including operator-licence information published through government data services. This may include a Transport Manager name, operator connections, licence details, traffic area, appointment dates or status, and links to a relevant published External Transport Manager profile.

Transport Manager Check is not an official DVSA register. Public-source information can be incomplete, out of date or wrong, and we review correction and removal requests individually.

Information we collect

Depending on how you use the service, we may handle:

  • the name or partial name entered in a search;
  • a secure browser-wallet cookie, credit balance and purchase or use history;
  • Stripe payment references, payment status and the checkout email address, but not full card details;
  • contact details and information submitted through contact, claim, correction, removal or credit-recovery forms;
  • messages needed to confirm a purchase, recovery request or form submission through Brevo; and
  • limited technical and security information, such as timestamps, request records and protected network identifiers used to prevent abuse and investigate faults.

How we use information and our lawful bases

We use information to provide searches and purchased records, maintain credit wallets, confirm payments, recover eligible credits, answer enquiries and consider claims or correction requests.

We also use proportionate technical records to secure the service, enforce fair-use limits, prevent fraud, keep financial records and deal with legal or regulatory enquiries.

Our lawful bases depend on the purpose. They include performing a contract with a purchaser, complying with legal obligations and our legitimate interests in building and maintaining a useful public-record research service, keeping it accurate and secure, preventing misuse and responding to questions and corrections.

Where we rely on legitimate interests, we consider whether the use is necessary and balance those interests against the rights and reasonable expectations of the people whose information is involved. Where consent is the appropriate basis, you can withdraw it for future use.

Cookies and browser credits

The service uses a strictly necessary, secure cookie to recognise the browser credit wallet and protect requests. The cookie does not contain a readable Transport Manager record, card number or full payment details.

Returning from Stripe Checkout in the same browser allows us to associate a successful payment with the correct wallet. If access is lost, the credit recovery process uses the checkout email address and security checks.

Stripe, Brevo and other suppliers

Stripe processes checkout and payment information. Stripe may decide which eligible payment methods, including browser wallet methods, to offer. Stripe has its own privacy information for the data it processes.

Brevo processes transactional email for the service, such as purchase confirmations and verification links. Hosting, security and technical suppliers may process limited information where this is necessary to provide and protect the service.

We require suppliers handling personal information for us to use it only for the agreed service and with appropriate safeguards. Where information is transferred outside the UK, we use an applicable lawful safeguard, such as UK adequacy regulations, the UK International Data Transfer Agreement or the UK Addendum to approved standard contractual clauses, unless another lawful transfer route applies.

Sharing information

A customer who uses a credit can view the matched record they chose to open. We do not sell Transport Manager records or personal contact details as a bulk list or list product, and we do not permit bulk extraction from the service.

We may also share limited information with the suppliers described above, professional advisers, law-enforcement bodies, regulators or courts where this is necessary and lawful.

How long we keep information

Short-lived search and selection tokens expire automatically. Purchased wallet data is kept while credits remain so that we can supply and recover them. Financial, accounting and consent records are kept for as long as needed to meet tax, accounting, fraud-prevention, consumer-rights or legal requirements.

Enquiries, claims and rights requests are kept only for as long as needed to deal with the request, keep an appropriate audit record and meet legal obligations. Security records are retained for a limited period based on risk.

Security

We use access controls, encryption or protected hashes where appropriate, short-lived tokens, rate limits and restricted server access. Masked suggestions and locked previews do not send full Transport Manager or operator names, licence numbers, profile links or source identifiers to the browser before a credit is used.

Your data protection rights

Depending on the circumstances, you may ask for access, correction, erasure, restriction or transfer of personal information, or object to how it is used. You can also complain to the Information Commissioner’s Office.

We may need enough information to identify the relevant record and protect it from an unauthorised change. We will not ask for a passport or home address as a routine first step.

Your right to object

You have the right to object when we rely on legitimate interests to use your personal information. Email info@transportmanagercheck.co.uk and explain which use you object to. We will consider the request and stop that use unless we have compelling legitimate grounds to continue or need the information for legal claims.

Add or change a Transport Manager record

If you are a Transport Manager and want us to add a public record connection or correct information we hold, email info@transportmanagercheck.co.uk with the name concerned, the change requested and any supporting publicly available information you have. You can also use the corrections and removal form.

A change on Transport Manager Check does not change an official operator-licence record.
